"Error! Bookmark Not Defined" When Updating Table of Content

"Error! Bookmark Not Defined" When Updating Table of Contents on one particular TC entry field


environment: Office 2007 SP2
Word 2007 SP2


I have a large word document with track changes on.

There are several table of contents within the document.

A master TOC at the front of the document, and the other sub toc's throughout the document.


Things Ive applied without success:

1. I found the ms article 134999

result: it doesnt mention a fix


2. I update the TOC field-
select TOC and right mouse click, select Update Field
result: toc doesnt update


3. I deleted the existing TC entry field and re-added.
result: toc doesnt update and doesnt include the new TC entry field


4. I add a new test TC entry field update TOC
result: toc doesnt update and doesnt include the new TC entry field


5. I deleted the toc and insert a new toc, and update
result: the toc field doesnt update and displays
"No table of contents entries found"

6. I figured the document or TOC was corrupt.
Therefore I created a new document.
copied all text across into new doc, inserted and added a new TOC (didnt copy the existing toc)
result: the new toc doesnt update and displays
"No table of contents entries found"


Ive checked the hidden bookmarks for this particular TC entry field. no hidden bookmark exists for this particular TC entry field. Therefore the reason why Word cant pick


The Word hidden bookmarks are internally generated.
Is there anyway I can create a hidden bookmark to reference?


Function:
in previous versions of Word - there was a shortcut key to insert a TC entry field on the current selected text
is that function available in Word 2007?
what is the shortcut key?

I would attach the document, however its over 4.5 mg.

Ive attached some screen capturess.


any other ideas?

If you take a copy of the document and accept all changes does this fix the problem?
I realize that this may not be a good enough workaround for you but I want to know if the change tracking is the cause.

Ive accepted all track changes in the document.
Performed an update toc
result: in the toc the TC entry the page number still displays as "Error! Bookmark not defined"

One last quick thing to try.

What happens if you accept all changes, turn off change tracking, delete the problem heading, add the heading back in by retyping it, add the TC entry again and then rebuild the TOC?

1. Yes Ive accepted all changes
2. turned off track changes
3. deleted the problem heading
4. retype heading back
5. updated existing TOC
6. result: still displays heading with page number "Error! Bookmark not defined"
7. deleted existing TOC, added a new TOC , pressed update
8. the result is: wont update the TOC. its like its locked but its not a locked field

I am running out of ideas on this one.

In case your document has been corrupted can you copy the entire document EXCEPT for the final paragraph mark, and paste it into a new document, and then try the above steps again. This sometimes manages to save corrupted documents without having to completely retype them.

further update...

in the TOC the heading displays with "Error! Bookmark Not Defined" .
If I select this heading line in the TOC right mouse click and select Toggle Field Codes.
the result is: displays Words hidden bookmark names

I goto ribbon Insert, Bookmarks, and tick checkbox Hidden bookmarks.
List the hidden bookmarks and display sequentially
_Toc295928220
_Toc295928222"

The heading bookmark isnt listed.
_Toc295928221

Ive tried to manually add the bookmark, however the Add bookmark button is disabled. This could be due to hidden bookmarks being Words internal references, and end users cant create hidden bookmarks.

Yesterday I applied another solution which worked:
1. Open and Repair the doc
2. Save As the document in .RTF format. The orginial doc file size was 4.5mg. This blew the file size out to over 400mg. However when I updated the TOCs it cleared the error messages, and displayed correct page numer. The "missing" hidden bookmark was displayed in the bookmark list
3. I Saved As the document back into .doc format
result: resolved

That's really good news. Moving a document to RTF and back to DOC is often a good way to fix a corrupted document, and preserves most important features.
