Referring to Repeated References

Post by Sundog »

In Word 2007, I have a document with 250 references, currently shown as endnotes via Insert => Endnote, collected up in a Reference section after a Section Break. The author reuses his references multiple times throughout the document.

Currently the document is in draft, undergoing multiple revisions. The endnotes are using Word's auto-numbering approach, which requires that each insertion of an endnote gets its own number. This results in repeated text in the Reference section for each reused reference, each with a different number. Use of Ibid. or Idem. is not allowed.

I'm looking for a scheme that would:
  • Reuse the existing reference number.
  • Allow the reader to jump from the running text to the reference in the Reference section.
  • Once in the Reference section, allow the user to jump back to his former location in the running text, even if the reference number appears multiple times.
Any suggestion would be appreciated.

You can insert cross references to an existing endnote:

The hyperlink will take you to the endnote number though, not to the endnote itself, so I don't think your second and third requests can be fulfilled.
You do not have the required permissions to view the files attached to this post.
Best wishes,

The hyperlink takes the reader to the endnote number in the running text, not to a reference in the Reference section.

My difficulty with that approach is that the reader has no easy way to get back to his jumping-off place in the running text. Instead, he could be pages away in the running text.

Also, when hovering over the hyperlink in the running text, the reader sees "Current Document, Ctrl + Click to follow link," not very helpful. When hovering over the initial endnote in the running text, the reader sees the reference text.

I don't think there is a solution that meets your requirements.

One approach I may try:
  • For a repeated reference, say back to 2, References => Insert Endnote normally.
  • At that location in the running text, Insert => Bookmark, with the bookmark being the number of the reference.
  • In the Reference section, make an entry like 16 Smith, reference 2 <back>, so the reader could review reference 2 if desired.
  • Hyperlink this <back> to the 16 location in the running text.
This would be done after the document revision cycle, to avoid the numbering problem of inserted or deleted endnotes. The reader now has the problem of getting back to 16 so s/he could jump back. Maybe better than being lost in the middle of the running text?

Or maybe, at reference 2 in the Reference section, add as many <back to 16> type links, changing the number as required, hyperlinked to the location of 16 or whatever number, in the running text?

[Edited to add an option.]

A better statement of an option:
Here’s one approach to the “return to jumping-off place” difficulty.

• For a repeated reference, say back to “ 2 John Paul Smith, A Fascinating Look at Bookmarks, Proceedings of the Reference Society, October 2011.” Do a References => Insert Endnote normally, with a new endnote number 16, let’s say.

• At that location in the running text, Insert => Bookmark, with the bookmark being the number of the inserted reference, 16.

• In the Reference section, make an entry like “ 16 Smith, reference 2 <back to 16>”, hyperlinked to reference 2 in the Reference section, so the reader could review reference 2 if desired, and hyperlinked back to the location of 16 in the running text.

• At the end of reference 2 in the Reference section, add as many <back to 16> type links, changing the number as required, hyperlinked to the bookmark at 16 or whatever number, in the running text.

This would result in many one-line short references in the Reference section. And a oft-repeated reference would have a collection of hyperlinks at its end, like “ 2 John Paul Smith, A Fascinating Look at Bookmarks, Proceedings of the Reference Society, October 2011. <back to 16>, <back to 27>, <back to 33>," etc.
